Job description

Position Summary

  • The Client Engagement Office Support Worker greets visitors, answers general telephone calls and inquiries, and performs general office duties for the office assigned.

Job Duties

  • Welcome consumers and visitors in a prompt, professional, and courteous manner; direct individuals to the appropriate staff within the organization.
  • Positively represent the organization by demonstrating polite, empathetic behavior to all staff, clients, visitors, etc.
  • Answer multi-lined telephone; determine needs of callers and transfer calls and/or take messages. Warm transfers and/or messages are required in lieu of “blind transfer” calls.
  • Maintain basic understanding and knowledge of agency services and programs in order to answer questions, direct calls, etc.
  • Organize and maintain reception area and necessary supplies.
  • Prepare and collate copies of internal documents and packets as needed.
  • Respond to requests for information or directions.
  • Cooperate and collaborate with program staff, volunteers, and other agency staff.
  • General office or clerical duties as needed, to include faxes, supplies, light cleaning or organizing, data entry, etc.

  • Strong problem-solving skills and the ability to use resources to seek clarification or additional information to answer inquiries or requests regarding agency locations, programs, services, etc.

  • Awareness and sensitivity of the organization’s constituents and populations served by employees.
  • Ability to work with Microsoft Office Suite or related software.
  • Ability to work with basic office equipment, such as copier, fax, postage machine.
  • Regular and predictable attendance, and promptness for work.

Education and Experience

  • High school diploma or equivalent is required.
  • One year of customer service experience preferred.
  • One year reception or office support experience preferred.
  • Fluent in English and another language preferred (Desired languages will align with our client populations and may include but are not limited to Spanish, Kurdish, Arabic, etc.).
  • Demonstrated understanding of and ability to work with people of diverse backgrounds.
  • Valid driver’s license, liability auto insurance, and ability to drive for organization business.

Physical Requirements

  • Sit at a desk and work at a computer screen for hours at a time.
  • Work a flexible schedule, including evenings and weekends to meet client needs (as directed).
  • Occasional lifting of office items (up to 25 pounds).
  • Travel to various office locations to support client services, as needed and as applicable by region.
