POSITION PURPOSE:

This position will report to the Director of Financial Aid & Scholarships and is responsible for advising students and parents at the department’s front counter area and on the phone regarding financial aid. Also, provide guidance, direction and support to student workers at the front who are assisting students. This position requires a high level of customer service, along with organizational and technical skills and the ability to work independently as well as in a team environment. Position will be responsible for imaging documents using OnBase software.

DUTIES & RESPONSIBILITIES:

A. Front Counter Advisor

  • Providing information to students and parents concerning various types of aid available, how to complete the federal and state aid application processes, as well as the institutional Scholarship Application.
  • Explaining to students and parents the various documents that may be requested, including verification forms, tax returns, and how to complete them in Campus Logic system.
  • Assists students with completing SAP Petitions, Loss of Income appeals, Cost of Attendance appeals and Dependency Override applications.
  • Respond to emails received in the department email account.
  • Answer phones as needed.

B. Imaging Duties

  • Scan, image, and Index all Financial Aid documents using OnBase software

C. Other Job Duties

  • Perform other job-related duties and special projects as assigned
  • Attend training and maintain skill currency appropriate to safely and effectively complete assignments
  • Present at Outreach events

REQUIRED QUALIFICATIONS:

EDUCATION & EXPERIENCE – Equivalent to graduation from a four-year college or university in one of the behavioral sciences, public or business administration or a job-related field. Specialized experience during which the applicant has acquired and successfully applied the appropriate knowledge and abilities may be substituted for the required education on a year-for-year basis.

SKILLS, KNOWLEDGE & ABILITIES (SKA’s) –

  • Regular and reliable attendance is required.
  • Demonstrated customer service experience requiring a very high level of diplomacy and professionalism.
  • Ability to use tact and diplomacy to effectively handle a broad range of high level and sensitive interpersonal situations with diverse personalities, and to respond appropriately to conflicts and problems.
  • Ability to initiate, establish, and foster communication and teamwork by maintaining a positive, cooperative, productive work atmosphere in the University with the ability to establish and maintain effective working relationships within a diverse population and with those from various cultural backgrounds.
  • Excellent communication skills; ability to effectively communicate information in a clear and understandable manner, both verbally and in writing. Ability to present to large groups of students and parents.
  • Thorough knowledge of English grammar, spelling and punctuation.
  • Ability to interpret, communicate and apply policies and procedures.
  • Demonstrated ability to maintain a high degree of confidentiality.
  • Excellent organizational and time management skills with the ability to set own priorities to coordinate multiple assignments with fluctuating and time-sensitive deadlines.
  • Excellent computer skills and competence with a variety of computer applications including word-processing, spreadsheets, databases, on-line systems, Internet as well as online calendaring and email.
  • Working knowledge of or ability to quickly learn University infrastructure, policies and procedures.
  • Must be willing to travel and attend training programs off-site for occasional professional development.

PREFERRED QUALIFICATIONS:

  • Thorough working knowledge of federal, state and institutional financial aid programs, policies, procedures.
  • Equivalent to one year of recent experience in a college or university student services area (preferably financial aid office).
  • PeopleSoft experience in a college or university financial aid office.
  • Demonstrated skills in an institutional/educational environment utilizing a customer-oriented and service-centered attitude.
  • Campus Logic Student Forms experience.

PHYSICAL DEMANDS: LIGHT WORK – involves mainly sitting, up to 25% standing or walking; lifting medium weight objects limited to 25 pounds.

SPECIAL CONDITIONS:

SCREENING: Only those applicants possessing experience most directly related to the immediate needs of the office will be invited to appear before a Qualifications Appraisal Board for the purpose of appraising training, experience, and interest in the position.
