Role

We are seeking an exceptionally bright, multitasking, self-motivated, experienced Administrative Assistant to support our team and clients. Quick thinking, flexibility, and adaptability are essential to excel at managing the changing demands and priorities of our growth. The successful candidate is resourceful and autonomous when taking on new tasks and projects, relying on problem-solving skills to get the job done.

As the gatekeeper and extension of the executive team, the Administrative Assistant will frequently find themselves at the center of everything that happens in the company, therefore is pivotal to the success of a well-run, efficient, productive, and happy team.

As the team ambassador, the successful candidate is proficient in writing and proofreading with impeccable grammar and composition.

Responsibilities

The Administrative Assistants will perform various administrative functions critical to running an organization efficiently:

  • Manage daily client workflow
  • Provide Project Management (PM) assistance
  • Draft and refine Standard Operating Procedures(SOPs)
  • Day-to-day administrative support for multiple team members, including proposals/presentations, etc.
  • Create and distribute client Reports
  • Vendor and OEM management
  • Maintain hardware supply inventory for clients
  • Research, purchase, and track warrantied replacement parts for client hardware with our vendors and distributors
  • Manage on-site client requests
  • Manage Engineers' time entry reports, expense reports, and on-call stipend
  • Manage all client billing, accounts receivables, and accounts payables
  • Generate and distribute weekly service desk reporting
  • Generate and distribute monthly financial reporting to CEO and President
  • Provides clerical support, direction, guidance, and training to engineers and the executive team
  • Maintain electronic filing systems
  • Generate and assist in the preparation of regularly scheduled reports from the accounting and PM platform
  • Assist executive team in the scheduling of new client engagements
  • Assist in new client onboarding
  • Create and maintain new client onboarding materials
  • Assist in managing distributor relationships
  • Assist in drafting and editing new client engagement materials such as proposals/RFPs, presentations, reports, spreadsheets, and reports
  • Organize team meetings, including agendas, project lists, minutes, and reports

  • Ability to absorb and implement new information and can quickly adapt to the needs of a project or workflow
  • Ability to work a varied schedule based on the needs of the people and business operations that you support (some nights/weekends may be required)
  • Proven experience as an Administrative Assistant, Virtual Assistant, Office Admin Assistant, or similar role
  • Proficiency in MS Office (MS Excel and MS Word, in particular)
  • Excellent time management skills and the ability to prioritize work
  • Demonstrated proficiency in word processing, data entry, or related computer applications required
  • High School degree; additional education and qualification as an Administrative assistant or Secretary or similar role will be a plus

Job Type: Full-time

Pay: $45,000.00 - $60,000.00 per year
