Job Summary:Performs varied advanced administrative duties unique to Anderson College of Business and Computing requiring initiative and independent judgment. Under broad supervision and working closely with faculty, and other administrative staff, this position will be involved in the day-to-day activities in support of students, faculty and the college. Responsible for official records such as meeting minutes, databases, and department calendars. Problem solves non-routine situations by determining the approach or action to take by integrating guidelines, procedures, policies and practices. Administrative Assistants have daily contact with all levels of administrators and faculty requiring their use of professional communication skills, business ethics, tact, discretion and judgment. The administrative assistant is an integral part of the Anderson College of Business and Computing.

Major Duties and Responsibilities:
40% Performs a variety of administrative support activities for the college, such as initiating correspondence, interpreting and explaining established policy and procedure, extracting and summarizing information to facilitate informed decision making, evaluating and resolving problems within scope of position.

10% Screens all types of communication and visitors, directing them to appropriate staff or department when necessary; provides information requiring comprehensive knowledge of the College and its operations.

20% Uses the institutional computer system and/or a variety of software and sources to retrieve relevant information from a variety of sources. Researches, summarizes and analyzes information; calculates statistics and compiles data to prepare reports containing specialized or sensitive information following supervisor's broad direction.

15% Maintains department calendars, regularly coordinating meetings, conferences and appointments. Anticipates and prepares background information as needed under general instructions from supervisor and communicating arrangements to appropriate individuals.

10% Serves as liaison to faculty, staff, students, alumni, external affiliates and/or vendors. 5% Performs other duties as deemed reasonable by the supervisor.

Experience: High school diploma (or General Equivalency Diploma) and two-three or more years of job- related experience in an office environment, preferably in a high public contact setting.

Knowledge: (Body of and level of information necessary to perform a duty.
  • Knowledge of standard office policies and procedures.
  • Extensive computer knowledge to include Microsoft Office (particularly Word, Excel, Outlook and PowerPoint) is required.
  • Knowledge of basic accounting/budgeting procedures.
  • Correct usage of the English language.

Abilities: (Application of knowledge, i.e., intensity, duration, frequency of mental capabilities needed to perform tasks.)

Must have strong interpersonal skills; be able to work with a minimum of supervision; have strong attention to detail; and be committed to a high level of confidentiality.

Physical and Mental: (Frequency, duration, very easy to very hard, essential to helpful.) Lifting & Carrying: Minimal; some books, etc.

Pushing & Pulling: Opening/closing file drawers.

Body Positions: Walks to other campus offices; walks up and down stairs; sits at assigned place. Body Movements: Bending/Reaching.

Hand Use: Typing; answering phone; handling papers/books/computer. Hearing: Telephone/interpersonal communication.

Vision: Reading material to be researched/input. Mental:

Mathematics: (Counting, adding, subtracting, etc.) Computing data; assisting program directors with budget matters.

Remembering: (Recalling information.) Essential for research and input of data.

Language Ability: (Reading, writing, speaking) Must be able to communicate in person and in writing; must be able to research and interpret data.

Reasoning: (Judgment and decision making) Must be able to use sound judgment in problem-solving and in referring inquiries to others.

Pay Rate:Up to $18.70/hour commensurate with qualifications
